Retention:

Personal data used for document fulfilment may be kept for a reasonable period for delivery, follow-up, and record-keeping purposes. 24 months from delivery of the requested document or the last meaningful contact, whichever is later.

2.3 Newsletter or email updates

Purpose: sending occasional EU City updates on EU grant risk, compliance, governance, cost eligibility, evidence, reporting, and related advisory topics.

Data processed may include:

  • email address;
  • first name, if provided;
  • organisation, if provided.

Legal basis: consent.

Retention:

Newsletter subscription data is kept until consent is withdrawn, plus a short record of the withdrawal for compliance purposes.

Subscription is separate from document requests and contact enquiries. You may unsubscribe at any time through the unsubscribe link provided in each email, without affecting other services.

3. Sensitive or confidential information


Please do not send confidential grant files, HR documents, financial records, procurement files, personal data relating to third parties, or sensitive information through the website unless this has been specifically agreed.

4. Processors and service providers


Personal data may be processed on behalf of EU City by service providers used for website hosting, email, CRM, IT, administration, or related business support.

This may include:

  • Odoo S.A. — website hosting, CRM, email marketing, and related Odoo services;
  • OVHcloud;
  • Microsoft 365;
  • Google.

Where processors are located outside the European Economic Area, transfers rely on appropriate safeguards, such as Standard Contractual Clauses, adequacy decisions, or other safeguards provided under applicable data protection law.

EU City does not sell personal data.
